About this role | Mō tēnei tūranga 

  • Permanent part-time (0.5 FTE – 18hrs)

  • Dunedin Office 

We have an exciting opportunity for a customer service superstar with administrative experience to join our Dunedin office as part of the Otago | Southland Business Support Team. 

If you are energetic, organised, thrive in a busy environment where attention to detail is imperative, can manage conflicting priorities, enjoy taking responsibility, have a bubbly personality and can develop good working relationships, then this could be the role for you. 

This position has a key focus on being the first point of contact for our Otago District office. You will welcome our visitors as they arrive at our reception area, answer telephone calls, and refer enquiries to the different Ministry teams, including those in other regions. You will support our suppliers and contractors when they arrive at our site and maintain security by issuing visitor access cards. You will assist with fleet and event management, respond promptly to internal staff requests, and provide business support to the broader Ministry team. 

As this role is part of the Business Support team, it is necessary that you are a strong team player, have excellent organisational and time management skills, and can multi-task with superb accuracy and attention to detail. You must also be flexible with a desire to learn. 

This position includes front of house responsibilities, shared amongst the team, and requirement to support the wider team during the hours of 9.15am to 1.45pm (Tues to Friday). 

Salary range: $58,079 - $70,096 pro rata per annum + 3% KiwiSaver. The successful candidate will be appointed at a salary which reflects individual skills and experience.

About you | Mōhou ake

To be successful in this role, you will have the following capabilities and competencies: 

  • Superb customer service skills with a positive, can-do attitude.

  • A professional telephone manner.

  • Sound computer literacy and knowledge of the Microsoft Office suite, with a particular emphasis on Excel, Word and Outlook and working with databases.

  • Tech-savvy and the ability to learn new technology and systems quickly.

  • The ability to troubleshoot basic information and communications technology (ICT) and mobile device queries.

  • Strong organisation skills with impeccable time management and the ability to multi-task and meet deadlines.

  • The ability to work unsupervised while maintaining a high degree of accuracy.

  • Previous administration experience is highly desirable.

  • The ability to work well as part of a team and under pressure.

  • Flexibility and a desire to learn.

  • Excellent written, oral, and interpersonal communication skills.

  • A current driver licence is essential.

  • The ability and willingness to adhere to the Public Service Standards of Integrity and Conduct

You will demonstrate knowledge of, or a willingness to gain an understanding of Te Ao Māori and promote tikanga and Te Reo Māori. You will also have knowledge of, or a willingness to gain an appreciation of te Tiriti o Waitangi (the Treaty of Waitangi) as it applies in the public sector.

About our group and team | Mātau rōpū ake 

At Te Tāhuhu o te Mātauranga, we provide services and support nationally, regionally, and locally to the education sector, and in some cases, directly to ākonga/learners and whānau/families. 

The Business Support Team is part of Te Mahau | Te Tai Runga (South), a frontline group of staff who work with education providers, children, and their families across the Otago | Southland region. 

Reporting to the Business Support Manager, the Senior Support Officers provide a broad range of administrative and project support services to different teams and functions within the Ministry and collaborate with other team members to deliver shared services. The team plays a vital role in contributing to and achieving the Ministry's overall goals.
