Kaiāwhina Tiaki Tukanga | Tenancy Delivery Administrator - Porirua
Te Āhuru Mōwai has been established to deliver ‘whānau focused’ social housing in the Porirua/Tawa area. Proudly owned by Ngāti Toa, Te Āhuru Mōwai aspires to be a world-class community housing provider with the objective of providing warm and safe public housing, providing services to over 950 tenants. Te Āhuru Mōwai plays a part in achieving positive social and community development outcomes for people, whānau and the wider community.
You will play a key role in providing efficient and proactive administrative services to ensure the team operations are run smoothly.
Responsibilities:
Assist in maintaining the smooth operation of the RM/Tenancy Management team, promoting safety and efficiency in workplace practices.
Collaborate closely with the Tenancy Delivery Manager to complete crucial administrative tasks vital for the seamless functioning of tenancy operations.
Oversee the area group mailbox, ensuring timely responses or necessary escalations, including managing the Tribunal email inbox.
Daily management of Business Online Services (BOS) notifications.
Work in tandem with Relationship Managers to provide assistance in various areas, including the preparation of sign-up documents, tenant whānau Welcome Packs, scheduling inspection bookings, and dispatching Inspection letters.
Consistently and promptly capture and maintain customer records in accordance with Te Āhuru Mōwai guidelines and standards, using the appropriate internal system.
Actively engage in ongoing skill development, training, and supervision from management to enhance the effectiveness of the Administration Support role.
As needed, generate regular reports for Relationship Managers, such as market renter updates and rent arrears.
Produce weekly tenant damage reports and monitor Relationship Managers' follow-ups with tenants.
Manage and update the risk register as required.
Undertake additional duties that contribute to role enhancement and foster quality outcomes for each whānau.
Execute all responsibilities in a professional manner, adhering to relevant legislation, regulations, policies, codes of ethics/practice, and provided training.
Responsible for ordering stationary supplies for the Tenancy Team.
Provide support to the Finance team, including Housing Urban Development fortnightly invoicing and tenant account reconciliation.
Collaborate with Relationship Team Managers to develop, review, and implement new processes to enhance efficiency.
Actively participate in Health and Safety Committee Hui to promote workplace safety.
Contribute to disaster management mapping efforts.
Maintain an up-to-date list of support agencies for reference.
These responsibilities collectively ensure the efficient and effective functioning of the Tenancy Management team while promoting a safe and compliant work environment.
Skills and Experience:
To be successful our Administrator Housing Support will have:
Prior experience working in an administration type role supporting multiple team members in a busy office
Excellent attention to detail – thorough and accurate when accomplishing tasks.
Cultural awareness to align approach to our customers’ aspirations and preferences, particularly in working with Māori and Pasifika.
Flexible, adaptive, and pragmatic – ability to adapt to a busy and changing environment.
Resilient and able to stay calm under pressure and utilise effective problem-solving approaches.
Exercise sound judgement and discretion
Effective verbal and written communication skills and ability to build and maintain effective working relationships.
Self-managing with good planning and time management skills to prioritise portfolio needs.
Ability to recognise emerging situations, escalate and seek help when required.
Skilled in using the suite of Microsoft products and technology.
Ability to manage professional boundaries, show good ethical judgement, and to apply policies, code of conduct, processes, and practice guidelines.
Qualifications
Full Drivers Licence is required
